Special Notes

Resignations & Terminations
- Resignations: Because the process of replacing
faculty who resign takes time for recruitment and approval
of recommendations, faculty members have a professional obligation
to give written notice of resignation at the earliest opportunity,
but not later than 3-months prior to the termination date
or within 15 days of notification or re-appointment, whichever
date occurs later. Resignations should ordinarily become effective
at the end of an academic quarter or an academic year. (See
Handbook, Vol. II, Chapter 24, Section 24-56.)
- Terminations & Non-renewal of Appointments:
- Several situations exist by which both non-tenured
faculty may be terminated and/or have their appointments
not renewed. Procedures and review processes are outlined
in the faculty code in relation to each situation.
- Departments must submit a PAF indicating "Separation"
upon determination that a faculty member, regardless of
percent of time of appointment, is resigning or being
terminated not later than one month (30 days) prior to
the effective date. It is by means of this submission
that persons are removed from payroll, insurance deductions,
etc. Failure to do so places the individual, the department,
and the school in awkward circumstances in the eventuality
of appeal procedures or other actions.
- Procedures For Salary Increases Based Upon Merit
These procedures are outlined in the University Handbook, Vol.
II, Chapter 24, Section 55. Both faculty and chairs should familiarize
themselves with these procedures and the circumstances to which
they apply. Evidence of student and collegial evaluation of a
faculty member's teaching is essential for salary increases based
on merit. Furthermore, the advice of full Professors is required
to determine merit pay raises for other full Professors.
- Annual Re-appointment Procedures
- Procedures for Affiliate Titles: Affiliate
faculty are appointed annually by Chairpersons submitting
a list of names of faculty who plan to continue in the clinical
program. This list is directed to the Office of the Dean and
finally submitted to the Dentistry Business Office. Clinical
faculty who will not serve for a subsequent fiscal period
must have the appropriate termination form submitted. Ordinarily,
these routine re-appointment procedures are executed in the
period August through September of each academic year. Re-appointments
of more than two (2) years previous are considered the same
as an initial appointment.
Approval of these re-appointments is based on departmental
recommendation, concurrence by the Dean and the Board of Regents.
- Procedures for Re-appointment of Affiliate Faculty Terminated
Within Two Years of the Proposed Date of Appointment: All appointments
at the same rank as held previously should be requested by submitting
the following:
- PAF and PDF
- I-9
- W-4 Form (unnecessary if gratis)
- Employment Eligibility Verification(unnecessary if gratis)
- Updated Biography - Form 1015
- Updated Curriculum Vitae (see Appendix 1, pages 89-95
for format)
- Letter of recommendation from the Chairperson as suggested
for initial appointment but modified in relation to the
request for reappointment and special circumstances which
may apply.
- Renewal, or non-renewal, of Non-tenured appointments:
For renewal of appointments that are non-tenured (Acting Instructor,
Assistant Professor, Lecturer, Affiliate titles) see the Handbook,
Vol. II, Sections 24-41 and 24-53. This process is detailed
and includes specific deadlines which must be met. Most importantly,
an annual appointment which will not be renewed requires a minimum
of six months’ written notice before the next academic
year; that is, notification no later than December 31 for an
appointment which will not be renewed as of July 1.
Research appointments can be annual or for the Research Assistant
Professor, can be up to three (3) years in length and for the
Research Associate Professor and Research Professor up to five
(5) years in length. For those annual appointments in their
first year at the University, a decision on renewal
must be made by March 30th. For all other research appointments,
a decision on renewal must be made by December 31st of the terminal
year of their appointment.
